Arts Administrator

Blueprint Arts is looking for an Arts Administrator based in North Kent.

Blueprint Arts deliver community-led, multidisciplinary arts projects/events/festivals, including  (but not limited to) outdoor arts, filmmaking, theatre, music and dance with a range of communities, organisations and education establishments. We aim to address social issues, to help enrich people’s lives, to increase access to creative media and to strengthen communities  and inspire people through the arts.

 

We are looking for an organised, resilient and dynamic person who can support and organise a range of projects, festivals and courses that we deliver throughout the year in Kent. Our ideal candidate will be someone who is passionate about participatory arts and believes in the transforming power of the arts for individuals and communities. You will be adept at working independently with initiative as well as confidently contributing to a small team with a strong and disciplined work ethic. Responsible to the Artistic Director

 

Our usual office hours are 9:30-5:30. We’re open to discussions of full time or part time working options.

 

Our work is sometimes in the evening/at weekends and we would expect our candidate to be somewhat flexible with this with TOIL system. We understand the need for flexible work hours; for the right candidate we will be open to discussing alternative working times and/or part time hours. We would prefer someone with a passion for participatory arts and committed to arts administration position.

 

office:

Our office is in Faversham and we expect a large part of the administrator’s work to be office-based. A large majority of our community delivery is in Gravesham/Dartford and therefore we would also expect that the administrator will work in Gravesham/Dartford when needed to do so.

Projects below are just a few examples. The Arts Administrator will be working on all of these plus a number of other projects we deliver throughout the year as well as day-to-day general office/admin duties.

 

The Creative Exchange – Arts Council funded for two years this project is a community-led initiative aiming to work alongside the communities in Northfleet/Ebbsfleet/Greenhithe/Swanscombe to help improve and develop arts and culture in new build areas and surrounding   ‘low engagement’ (in arts and culture) areas

Creative Ways into Work – This project uses filmmaking as a tool to help develop disadvantaged young people’s employability skills followed by supporting them into employment/further training.

Heritage – We are currently developing a number of Heritage projects including an immersive theatre experience of The Princess Alice Disaster and local/oral history project with older residents in Northfleet

Salary

£23,000-£25,000 pro rata, dependent upon experience. This will be on a six-month probation contract, with a view to offer a permanent position after that time.

General duties/responsibilities

    • Work with the Artistic Director/Creative Producer to support our projects, festivals and events.
    • Design, organise and continually update suitable databases for projects, partners, participants, freelancers, monitoring  etc.
    • Maintain and update Management Systems in communication with our team
    • Carry out  the purchasing/hire of materials, equipment and services for all projects and courses
    • Contribute to the development/production of workshop materials for our projects (E.g. designing/printing templates or workshop prep)
    • Contribute to developing, writing and reviewing reports and evaluation documents and materials
    • Support in recruiting artists and other freelancers for projects
    • Recruit, organise and support volunteers including the development of learning plans where necessary
    • Help recruit organise and support participants and other beneficiaries on projects keeping suitable (and safe) records of personal details and progressions
    • Assist with the longevity of the company to include support with funding bid writing and helping to develop company plans and milestones
    • Contributing to our policies and procedures and support with updating these in line with government and other official guidelines and changes in national guidelines and policy 
    • Contributing to copy writing and regular update of blogs, website and social media
    • From time to time, the Arts Administrator may be required to communicate with Funders 
    • Whilst this is a non-management position we are a small and close knit team and therefore we would invite contribution to the strategic development of the company.

Monitoring and Evaluation

 

  • Contribute to the development of relevant monitoring strategies and responsible for developing documents and/or other monitoring materials
  • Ensuring staff and freelancers provide robust monitoring feedback in order to maintain up to date participation records and monitoring/evaluation databases and gather information for funder needs as required
  • Producing documents/report writing (with support) for funders and other interested parties
  • Communicating with external evaluators on bigger projects and collating any materials/documents that they need

Communication, Advocacy and Marketing

  • Communicate and support effectively across a small team
  • Contribute to design and marketing strategies for project recruitment, screenings and other events 
  • Contribute to social media as required
  • Champion our company and projects in all networking circles and within local communities
  • Develop and maintain relevant partnerships and networks for the promotion and smooth running of projects.
  • Aid the dissemination of best practice for all areas of work

Other General Responsibilities

  • Act in a professional manner at all times and uphold Blueprint Art’s Code of Conduct
  • Follow and promote safety procedures at work and observe health and safety regulations
  • Attend training and networking events as required
  • Any other duties that may be required to ensure the effective running of our projects and the Company

 

Knowledge Skills/Experience

Essential:

Previous experience of administration and/or trained to degree level

Experience of maintaining databases

Experience of working in a public facing role

Experience of using a range of social media platforms

Excellent communicator/literacy skills

A competent writer and a willingness to develop bespoke writing skills as necessary for development of our company/projects, for example evaluation report writing

Proficient IT skills, ideally with experience of using Macs – pages, numbers, keynote and so on

Proficient numeracy/mathematical skills (at least level 2)

Proof reading experience

Proficient at applying problem-solving skills

 

Desirable:

Experience of admin/coordinator roles in an arts organisation

Experience of designing databases and recording/analysing data

Experience of liaising with a range of people from different organisations and from varying backgrounds

Experience of maintaining business social media plaform/s

Experience of writing or contributing to funding bids

Experience of working in a fast paced, small team environment

Previous experience with working with diverse and/or disadvantaged communities

Knowledge of health and safety requirements on public projects, festivals and events

Experience of supporting the personal development of young people

Experience of monitoring and evaluating youth programmes

Knowledge of Safeguarding children and vulnerable adults both in-person and online

A full UK driving licence with access to a vehicle

An enhanced DBS check is required for this post and Blueprint Arts will carry this out for the successful candidate

You may sometimes be required to work evenings and weekends, usually when we have a project or event running.
