Blueprint Arts is looking for an Arts Admin Assistant based in North Kent to work full-time.

Part of the Kickstart Scheme (applicants must be 18-25 year olds & on Universal Credit).

Blueprint Arts delivers outdoor arts, filmmaking, theatre and multimedia projects, courses and arts/cultural festivals for (and with) various communities, organisations and educational establishments. We aim to inspire people from all backgrounds, to address social issues, to help enrich people’s lives, increase access to creative media and strengthen communities through the arts.

 

arts admin role details:

We are looking for an organised, resilient and dynamic person who can help support and organise a range of projects, festivals and courses that we deliver throughout the year in Kent and London. Whilst we do have projects in London, we are looking for someone based in North Kent (as this is where the majority of our work takes place).

 

Our ideal candidate will be passionate about participatory arts and believe in the transforming power of the arts for individuals and communities. You will be adept at working independently and taking initiative, as well as confidently contributing to the team. As a small team, we need someone with a flexible approach to work who can ‘get stuck in’ if required for work outside of their job description.

 

Our organisation is still working remotely. Therefore, the candidate must have a strong and disciplined work ethic.

 

This role is part of the government’s kickstart scheme. This means candidates must be aged 18-25 and on Universal Credit.

arts admin general duties & responsibilities:

  • Work with the Artistic Director to help coordinate our projects, festivals & events.
  • Design, organise and continually update suitable databases for projects, partners, participants, freelancers, monitoring etc
  • Carry out the purchasing/hire of materials, equipment and services for projects & courses
  • Contribute to the development of workshop materials for our projects (E.g. Arts Award documents and workshop plans)
  • Contribute to developing, writing and reviewing reports and evaluation documents & materials
  • Support in recruiting artists & other freelancers for projects
  • Recruit, organise and support volunteers, including the development of learning plans where necessary
  • Recruit, organise and support participants and other beneficiaries on projects
  • Contribute to the company’s strategic development (e.g. seeking out potential opportunities & partners)
  • Assist with the longevity of the company. This includes support with funding bid writing and helping to develop company plans & milestones
  • Contribute to our policies & procedures, and support with updating these in line with government & other official guidelines and changes in national guidelines & policy
  • Contribute to copywriting and regular updating of blogs, website content & social media
  • Provide ‘in-person’ assistance to workshops leaders on projects with children, young people, families, adults & older people from all backgrounds.
  • From time to time, the Arts Admin Assistant may be required to communicate with Funders

monitoring and evaluation:

  • Contribute to the development of relevant monitoring strategies
  • Responsible for developing documents and/or other monitoring materials
  • Ensure staff & freelancers provide robust monitoring feedback to maintain up-to-date participation records & monitoring/evaluation databases, and gather information for funder needs as required
  • Oversee accreditation measures for our projects and support our freelancers on projects to meet targets for Arts Award achievement. (Training will be given for this)
 

communication, advocacy and marketing

  • Communicate and support effectively across a small team
  • Support our marketing team on design and marketing strategies for project recruitment, screenings & other events
  • Contribute to social media as required
  • Champion our company & projects in all networking circles & within local communities
  • Develop and maintain relevant partnerships & networks for the promotion and smooth running of projects.
  • Aid the dissemination of best practice for all areas of work
 

other general responsibilities:

  • Act professionally at all times and uphold Blueprint Arts’ Code of Conduct
  • Follow and promote safety procedures at work, and observe health & safety regulations
  • Attend training & networking events as required
  • Any other duties that may be required to ensure the effective running of our projects and the company
 
As this is a kickstarter role, we do not expect candidates to have all the following knowledge, experience and skills. But it would be great to hear about anything you have done or learnt that supports this specific job role.

knowledge and experience:

  • Administration and/or coordinating – either within a company or on projects/events, in a paid or voluntary capacity
  • Developing and maintaining a range of databases, and recording and analysing data
  • Liaising with a range of people from different organisations & varying backgrounds
  • Using social media (preferably in a business context)
  • Knowledge of health & safety requirements at work
  • Good levels of literacy and proficient IT skills (ideally with experience of using Macs – pages, numbers, keynote, etc)
  • Good numeracy/mathematical skills and a willingness to learn budget management
  • Writing company/project reports and/or other official documents, and reviewing others’ work in official documents
  • Applying problem-solving skills to resolve challenging or complex problems and/or complaints
  • Admin/coordinator role in an arts organisation
  • Writing or contributing to funding bids
  • Working in a fast-paced, small team environment
  • Working with communities from various backgrounds – particularly those who are least engaged in the arts, those traditionally unrepresented in arts/culture in the U.K. and/or those with less access to arts/cultural activities.
  • Health & safety requirements on public projects, festivals and events
  • Supporting the personal development of young people
  • Monitoring and evaluating youth programmes
  • Knowledge of safeguarding children & vulnerable adults (both in-person and online)

circumstances

Please note: an enhanced DBS check is required for this post. (Blueprint Arts will carry this out for the successful candidate.) You may sometimes be required to work evenings and weekends when we have a specific project or event running.
